Who we are
Hectic is run by Loadout, owned by Hein, in Randburg, Johannesburg, South Africa. Hein is the information officer under the Protection of Personal Information Act (POPIA). Questions or requests: hein@loadoutmarketing.co.za.
What we keep, and why
- Your email address: to log you in with a one-time code. We don't send marketing unless you switched it on.
- Your name: shown to your gym. On leaderboards and the gym TV we show only your first name and the first letter of your surname.
- Your sports, units and settings: so the app fits you.
- Optional: man or woman, and an age group: only to make your Hectic score fair. Leave them out and your score still works.
- Your gyms and your role there (member, coach, owner).
- What you log: workouts, times, weights, distances, and when.
- What the app learns to help you: your usual training time, rest times, and the Passport stamps (place names) and cards you collect. You can see this under "What Hectic has learned about you" and clear it.
- Events you enter: the organiser gets your name, email and division to run the event. You agree to this each time you enter.
- Security records: a scrambled (hashed) version of your internet address, kept briefly to stop abuse like too many login attempts.
We don't keep your bodyweight, your phone number, card details or your location. When you use "Near me" or GPS tracking, your location stays on your phone. If a gym owner chooses to add the gym's location, that is saved for the gym, not for you.
Who can see what
- Everyone in your gym: your first name and initial and your scores on that gym's board. Switch off "Show me on leaderboards" in Settings to hide them.
- Your gym's owner and coaches: the member list of their gym, so they can run it.
- Event organisers: your name, email and division for events you entered.
- Nobody else. We never sell or rent your information.
Where it's stored
Hectic runs on Cloudflare, whose servers may be outside South Africa. Login emails are sent by an email service. Both only handle data to run Hectic for us and must protect it. Data stays encrypted in transit.
How long we keep it
As long as you have an account. Results older than 12 months stop counting for your score but stay in your history. Delete your account and everything is removed: your profile, logs, gyms, entries, Passport and learned habits. Security records are deleted after two days.
Your rights
You may ask what we hold about you, ask us to correct or delete it, and object to how we use it. Most of this you can do yourself in Settings, including Delete my data. You may also complain to the Information Regulator at inforegulator.org.za.
Cookies
Hectic sets one cookie: the one that keeps you logged in. No advertising or tracking cookies.
Age
Hectic is for people aged 18 and older.
If something goes wrong
If your information is ever exposed in a security incident, we will tell you and the Information Regulator as POPIA requires.
Changes
If this policy changes in a way that matters, we'll tell you in the app before it applies.
